Use our Rentman integration to link and synchronize data between Cue Manager and your Rentman system. To access this, go to Setup > Integrations, then click the Edit button on the Rentman tile.
If you do not have Rentman and would like to sign up, you can visit their site at rentman.io to setup an account.
Enabling the Integration #
To enable this integration, simply click the green Enable/Disable toggle, enter your Rentman API key, then click save.
Connecting to Rentman #
For the integration to work, you will need to connect to Rentman. To connect to Rentman, you will need to obtain an API key from Rentman. To do this, go to the Rentman app, navigate to Configuration > Extensions from the left pane, then scroll down to API and follow these steps:
- Click the Connect button
- Click the Show Token button
- Copy the API token
Once you have copied your Rentman API key, you will need to go back to the Cue Manager app, navigate to Setup > Integrations > Rentman > Edit and paste your Rentman API token in the API Key field, make sure the Enable/Disable toggle is set to Enabled, then click Save.
Importing Data #
Once you have enabled the integration and saved your API key, you will be able to import your Clients and Locations from Rentman. Do do this, you will have to select the Rentman folder that contains each as they are imported separately.
Setting Rentman Client Folder #
To import customers, you will need to set the Rentman folder that contains your clients. Do do this, click the Rentman Clients Folder dropdown and pick the folder that holds your clients. This folder is usually called Customers by default within Rentman, but may be called something different depending on your region and whether or not you renamed it.
Setting Rentman Locations Folder #
To import venues, you will need to set the Rentman folder that contains your locations. Do do this, click the Rentman Locations Folder dropdown and pick the folder that holds your locations (venues). This folder is usually called Locations by default within Rentman, but may be called something different depending on your region and whether or not you renamed it.
Save Your Work #
Once you have selected your folders, click the save button.
Setting Import Label Names #
Once you have set your folders, you will be able to set import label names for contact info fields. It’s important to note that in Cue Manager, we give you the option to give labels to contact info such as phone numbers, email addresses, URLs and addresses. Since Rentman does not have customizable labels for contact fields, we give you the option to specify these. For example, you can set the Rentman Phone 1 field to have a label of “Main” and Phone 2 field to be “Alt“… By doing this, when contacts are imported, their Phone 1 fields will be imported to their respective contacts with a label of “Main“, and for Phone 2, a label of “Alt“.
Import Limitations #
Please note that we limit imports to once every 6 hours per contact type. For example, you are able to import customers and venues at the same time within the 6 hour window. It should also be noted that imports are performed one company at a time and normally begin within a minute or so, but depending on how many companies are importing customers and venues when you decide to import yours, you may have to wait for your import to begin. We will show you how many imports (if any) are ahead of you on each imports page located at Integrations > Rentman > Edit and selecting View Recent Imports from the Client Imports or Location Imports dropdowns.
Import Behavior #
Importing will both import new contacts from Rentman and update existing linked contacts in Cue Manager with the most up to date information from Rentman. When updating contact information such as phone numbers, we will sync the first 2 numbers in your Cue Manager contact phones list with Phone 1 and Phone 2 from Rentman. When updating, phone numbers are only deleted if A.) The phone field is empty, and B.) The empty record is the last phone in the phones list. For example, if Phone 2 in Rentman is empty and there are only 2 phone numbers in the Cue Manager contact phones list, then the phone number will be deleted from Cue Manager. However, if Phone 2 in Rentman is empty and there are 3 phone numbers in Cue Manager contact phones list, then no phones will be deleted from the contact in Cue Manager. This ensures you are still able to have additional phone numbers against a contact in Cue Manager. The same deleting method is also true for linked emails, links, and addresses.
When an import is started, any contacts from Rentman that are not already linked in Cue Manager will be imported. For example, if you have an existing contact in Cue Manager called “ABC Productions” that was created via the Cue Manager app but wasn’t linked to a Rentman contact, then any contact in Rentman called “ABC Productions” will end up being imported resulting in you having 2 records called “ABC Productions” in Cue Manager. One of them will be linked to the Rentman contact as part of the import process, and the other will be the original that you previously created within Cue Manager, which will remain unlinked. The best way to avoid this is to manually link any existing unlinked contacts before importing a large number of contacts from Rentman. See this article on linking contacts.
The duration of imports varies based on the number of contacts you have, however once an import starts it should work through about 100 contacts per minute.
